Subscription recruitment for law firms: how it works and what it costs

By Ben Holtom, founder of Sourcefully. Updated .

The short answer

Subscription recruitment replaces percentage fees with a fixed monthly fee. For law firms it ranges from single-vacancy plans at around £1,000 to £1,500 a month to embedded retainers where a recruiter runs all of your hiring. It works out cheaper than agency fees once you hire regularly, roughly a hire a month or a solicitor every six to eight weeks.

Law firms have paid recruiters a percentage of salary for decades. On a £60,000 solicitor at 20%, that is a £12,000 invoice for one hire. Subscription models came out of firms asking a simple question: if we hire every month, why are we paying a separate success fee every time?

The main models compared

ModelTypical cost (plus VAT)What to know
Contingency agency15% to 25% of first-year salary per hireOnly pay on success; cost rises with every salary
Advert campaign packagesRoughly £350 to £2,000 per campaignCheap, but you screen applicants yourself and there is usually no guarantee
Single-vacancy subscriptionAround £1,000 to £1,500 a month, three-month minimumOne role at a time; quiet months still cost the same
Embedded retainer (Sourcefully)£2,750 a month plus £1,000 per startUp to three live roles, direct sourcing and branded adverts; best value from around a hire a month
In-house recruiter£35,000 to £50,000 salary plus employer costsFull control, but a fixed cost when hiring slows

When a subscription makes sense

  • You hire around once a month, or bring in a solicitor every six to eight weeks.
  • You have no in-house recruiter, and partners or a practice manager are running hiring around their day jobs.
  • You want adverts under your own name and a consistent story about why people should join you.
  • You are opening an office, launching a department or growing a team, so several roles run at once.

When it does not

  • You make one or two hires a year. A flat fee per hire will be cheaper; Sourcefully's start at £3,000.
  • The plan covers one vacancy at a time but you have three live roles. You end up queueing hires or paying twice.
  • There is no guarantee if nothing happens. A monthly fee with no shortlist commitment just moves the risk to you.

How Sourcefully's embedded retainer works

I join your team as your fractional in-house recruiter: your email address and systems if you want, a weekly hiring call, and on site when it helps. £2,750 a month covers up to three live roles at a time, plus £1,000 per start. Within five working days of you signing off the first brief, the hiring plan is agreed and your adverts are live.

  • The Shortlist Guarantee: no shortlist within three weeks of a signed-off brief means your next month is free.
  • Six-month replacement guarantee on every hire.
  • Three-month minimum, then rolling with 30 days' notice.
  • Founding rate: my first four retainer clients lock £2,750 for 12 months. After that, £3,250 a month.
  • Starting with one role? Move to the retainer within 90 days and your flat fee is credited, up to £2,000.

Frequently asked questions

What is subscription recruitment?

Subscription recruitment means paying a recruiter a fixed monthly fee instead of a percentage of each hire's salary. Depending on the provider, the subscription buys one live vacancy at a time, a set number of adverts, or a share of a recruiter's week running all of your hiring.

How much does subscription recruitment cost in the UK?

Single-vacancy subscriptions typically run from around £1,000 to £1,500 a month, usually with a three-month minimum. Embedded models, where a recruiter runs several roles inside your firm, cost more per month but less per hire once you recruit regularly. Sourcefully's Embedded Talent Partner retainer is £2,750 a month plus £1,000 per start, covering up to three live roles. All plus VAT.

Is subscription recruitment cheaper than an agency?

Only if you hire often enough. A contingency agency charging 20% on a £45,000 solicitor costs £9,000 per hire. A subscription only beats that if the monthly fees, spread across the hires you actually make, come in lower. As a rule of thumb, an embedded retainer pays off at around a hire a month, or a solicitor every six to eight weeks.

What should a law firm check before signing a recruitment subscription?

Check how many live roles the fee covers, the minimum term and notice period, whether there is a fee per hire on top, what happens if no shortlist arrives, how long the replacement guarantee lasts, and whether the recruiter actually sources candidates or only posts adverts.
